PRIVACY POLICY

By continuing to use the World Moot on International Law & Animal Rights, Inc. (WMILAR), the user is agreeing to the privacy policy as set out below.

1. Definitions:

  • Personal Data: Any information relating to an identified or identifiable natural person ("Data Subject"). Personal Data collected from those involved in delivering or receiving our services (e.g., participants, attendees, staff members, partners, etc. other personnel involved in organising, participating, and facilitating events), may include, without limitation, names, contact details, academic affiliations, and any other relevant information necessary for event organisation and participation. Personal Data collected from staff members, and other personnel involved in organising and facilitating events may include, without limitation, contact details, roles and responsibilities, and other relevant information necessary for organisational purposes.

  • Processing: Any operation or set of operations which is/are performed on Personal Data, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure, or destruction.

  • Consent: Any freely given, specific, informed, and unambiguous indication of the Data Subject's wishes by which they, by a statement or by a clear affirmative action, signify agreement to the processing of Personal Data relating to them.

  • Services: Events, including but not limited to the WMILAR moot court competition and training courses.

  • GDPR: General Data Protection Regulation (EU) 2016/679.

  1. By continuing to use the WMILAR website, the user agrees to adhere to the terms of this privacy policy and Consent to the Processing of their Personal Data as outlined herein.

  2. We process your information in accordance with best industry practice and the GDPR, violations of which can be addressed through our complaints procedure and the complaints procedure of the relevant supervisory authority.

  3. We collect and process Personal Data in a lawful and transparent manner, adhering to the principles of data protection outlined in the GDPR. This includes, without limitation, Personal Data collected from those involved in delivering or receiving our services (e.g., participants, attendees, staff members, partners, etc. other personnel involved in organising, participating, and facilitating events).

  4. We gather the following anonymous information in aggregate form such as browser type (e.g., Chrome, Internet Explorer, Netscape Navigator, etc.), operating system (e.g., Windows, MacOS, Linux, etc.), IP address, and internet domain (e.g., Demon, AOL, etc.) using Google Analytics and other tracking systems to better understand how users are accessing our content.

  5. If your device allows us to, we will use 'cookies' to store certain types of information each time you interact with us. Cookies enable our system to recognise your computer and allow us to see how our website users use the website. This may include, e.g., tracking the areas of the website you visit to see what interests you in particular and what third-party sites you access before and after.

  6. We may use cookies to enhance your browsing experience and analyse usage patterns on our website. By using our website, you Consent to the use of cookies in accordance with this privacy policy.

  7. With regard to cookie collection, all website users have the right to prevent their device from allowing cookie collection. Each website user will be presented with a cookie banner upon access to the website, and has various options in regard to Consenting or not Consenting to cookie collection.

  8. Personal Information will be stored by and may be used by us:

    • to enable us to develop, improve, and market our products and services to you and our other partners/members/website users;
    • for market research and statistical analysis;
    • for general business purposes and as otherwise permitted by the relevant law or regulation; and
    • design, select, and offer products and services that we consider may be of interest to you.
  9. For instance, we may:

    • retain and evaluate information on your recent visits to our website and how you move around different sections of our website for analytics purposes to understand how people use our website so that we can make it more intuitive; and
    • keep a record of the articles on our website that you have clicked on and use that information to target advertising on this website to you that is relevant to your interests, which we have identified based on articles you have read.

The WMILAR, including its permanent, temporary, full-time, part-time, independent consultant, employee, remunerated, or volunteer staff members, is a recipient of the Personal Data that you have supplied to us for subscription, registration, or other communication. This information will be used for the purposes for which you have supplied it, to enable us to execute the relevant purpose, in accordance with the law.

  11. Personal Data may be used for purposes such as, without limitation, event-related communications, confirmations, updates, and follow-ups. Participants may receive communications regarding event logistics, schedules, and related information.

  12. Personal Data collected through communication received, such as, but not limited to, phone call, video call, text message, email, or postal mail will be processed for the purpose of responding to inquiries, providing requested information, etc. By voluntarily providing your Personal Data through these means you consent to its processing for the specified purpose(s) in accordance with this privacy policy.

  13. Personal Data may be shared with affiliated entities (e.g., sponsors, hosts, collaborators, judges, trainers, evaluators, etc.) for purposes such as, without limitation, registration, event coordination, and communication.

  14. We will not intentionally share your Personal Data with a third party without your Consent. Third parties do not include permanent, temporary, full-time, part-time, independent consultant, employee, remunerated, or volunteer staff members or affiliated entities (e.g., sponsors, hosts, collaborators, judges, trainers, evaluators, etc.) of the WMILAR.

  15. Upon subscribing to our newsletter or registering for our services, you Consent to the processing of your Personal Data by third parties whose platforms you use to make your subscription and/or registration (e.g., Brevo, Google, etc.). These parties will use your data in accordance with their own policies, for which the WMILAR excludes all liability to the fullest extent permissible by law.

  16. Data collected by WMILAR may be transferred to and processed in countries outside the European Economic Area (EEA), including but not limited to countries where some of our events take place. By providing your Personal Data, you Consent to such transfer and Processing, unless you explicitly opt-out by contacting us in writing.

  17. We retain Personal Data for as long as necessary to fulfill the purposes for which it was collected, or as required by law. Personal Data will be securely disposed of when no longer needed.

  18. With regard to our newsletter and emails, all recipients have the right to unsubscribe, which is easily visible on each email received, and will be carried out upon request within a reasonable time period.

  19. You have the right to request access, rectification, and erasure of Personal Data you have supplied to us, by sending a message using the webform on our website. You also have the right to withdraw your Consent to being contacted by us through newsletters at any time, by sending a message using the webform on our website. In both cases, you will receive acknowledgment of or response to your request, signifying that your request has been received or dealt with. If you do not receive such acknowledgment or response, please use an alternative mode of communication, such as the email address listed below, and await acknowledgment or response.

  20. Any significant changes to the privacy policy will be emailed to subscribers through the email address you have used to subscribe and/or through a prominent notice on our website.

  21. For WMILAR (competition/training course) registrants: When registering with us, you will provide various personal and institutional details including, among others, your name and a contact email address where we can reach you. You may receive a follow-up email acknowledging successful receipt of your registration application, with details about the WMILAR containing relevant information. You may subsequently receive further communication from us in relation to your registration, until and unless you unsubscribe.

  22. For other senders/subscribers: When sending us a message, registering your interest in collaborating, sponsoring, etc. with us, subscribing to our newsletter, etc., you will provide certain personal and institutional information, including, among others, your name and a contact email address where we can reach you for further communication. You may receive a follow-up email acknowledging receipt of your message/subscription, and, if you have subscribed to our newsletter. You may subsequently receive further communication from us in relation to your message or subscription, including but not limited to our regular emails, until and unless you unsubscribe.

  23. The WMILAR may take photographs or videos during events for promotional or media coverage purposes. By participating in our events, you Consent to the use of your image and likeness in promotional and other materials.

  24. For any queries, concerns, or complaints about the privacy policy or data collection or storage, you may contact the WMILAR in writing using the webform on the website, or using any of the contact details listed below, and await acknowledgment or response.

  25. Complaints will be handled internally by the us, without prejudice to your legal rights or to the complaints procedure in place by the relevant supervisory authority.

  26. The WMILAR will make reasonable efforts to address and resolve complaints in a timely and fair manner. The WMILAR will decide, in its sole discretion, on Your complaint within a 28- day period of receiving it, and will communicate the decision to You using the contact information extracted from Your communication to the WMILAR. If the WMILAR is unable to decide within this 28-day period, it shall communicate the fact of and reasons for the delay to You within the 28-day period, and make all reasonable efforts to decide on Your complaint as soon as possible, and in any event within 90 days of receipt.
